Is Scannable really free?
Yes — the Free plan has no time limit and no credit card required. You get unlimited inventory items, inspection recording, and access to the global equipment database. The Free plan is designed for individuals managing their own gear; Pro and Pro+ is for teams who need to share inventory and work together.
How does Pro pricing work?

Pro is priced per item in your inventory. You choose your inventory size and pay accordingly — the more items you manage, the lower the per-item cost. Both monthly and annual billing are available, and annual plans work out cheaper.

What if I need NFC tags?

If you’re just starting out with Scannable, our Pro+ plan includes NFC tags in your monthly or annual subscription. There is a 3-year commitment for Pro+.

What counts as an "item" for pricing purposes?

An item is any individual piece of equipment tracked in your inventory — a harness, a carabiner, a rope. Each individual item you add counts as one item.

Is there a free trial for Pro?

Yes — Pro comes with a 30-day free trial, and there's also a 90-day money-back guarantee if it's not the right fit.

Can I switch between plans?

Yes. You can upgrade from to Pro at any time. If your inventory grows, you can adjust your item count. There are no long-term contracts on monthly plans.

What if I hit my inventory limit?

You can upgrade your inventory limit at any time through the web app. 

What if I want to cancel my account or trial?

No problem — there's no minimum commitment on Pro. You can cancel at any time directly from within the app. 

Getting Started
Do I need NFC tags or special hardware to use Scannable? 
No. You can get started without any NFC tags or additional hardware. A lot of PPE from leading manufacturers already has a 2D code (data matrix or QR) that Scannable can scan with your phone's camera. NFC tags are optional — they make scanning faster and work even when a serial number has worn off, but they're not required to get started.
How do I decide what tags to choose if I do want to retrofit my equipment?

Can I save any brand of equipment into Scannable?

Yes — Scannable has a database of 60,000+ pieces of equipment from over 280 manufacturers pre-loaded, so you rarely need to enter product details manually — you just search for your equipment and add it to your inventory. If you can’t find what you’re looking for, you can ask us to add the item to our database, or simply create it yourself.

What does onboarding look like when I sign up for Pro or Pro+ plans?

When you sign up, the Scannable team reaches out to schedule a kick-off call, import your existing inventory spreadsheet, help you get your team set up with the right roles, and advise on NFC tags if you need them. Some teams run with it from there; others work more closely with the team through the rollout. Either way, support is always available.

How long does it take to set up Scannable? 

Most teams are up and running within a few days - but it depends on your workflow and how you are currently managing your equipment. 

Can I import my existing inventory? 

Yes — if you have existing equipment data in a spreadsheet or other equipment management software, the Scannable team can help you import it during onboarding. We’ll even enrich your data to make sure it has all the manufacturer specifications and documentation included. Pro and Pro+ plans include dedicated onboarding assistance.

Does Scannable work offline?

How many users can I add on Pro?
Unlimited. There's no per-seat charge on Pro — the pricing is based on your inventory size, not team members.
Can different team members have different levels of access? 

Yes. You can assign roles (admin, manager, member, user) and designate specific users as Competent Persons for Thorough Examinations. You can also assign folder-level access permissions for more granular control. See this article for more information on roles.

Can external inspectors or auditors access our data?

Yes. You can invite external inspectors to your organisation, and individual inspection reports and inventory items can be shared via a link — no account needed for the recipient.

Does Scannable help with LOLER compliance?
Yes. The Thorough Examinations feature (Pro and Pro+) is built specifically around LOLER requirements — it supports competent person designation, SWL recording, signed certificates of thorough examination, notes, and grouped inspection reporting.
What about OSHA or WHS requirements?

Scannable supports compliance workflows across different regulatory regimes. Inspection records, checklists, and certificates are stored digitally and are easily retrievable for audits.

Can I use Scannable to manage equipment recalls? 

Yes — We will alert you if any of your saved items is subject to recall. The Safety Status feature also flags items that have been recalled.

Most customers come from spreadsheets. One of Scannable’s super powers is our product database — rather than manually entering equipment specs, you search for your gear and Scannable pulls the manufacturer data and specifications automatically. The Scannable team supports Pro and Pro+ customers uploading existing data during onboarding.
